The TrueRoute App
Account linking
If you run multiple Organizations on TrueRoute, then it is reasonable to have employees perform actions inside of other organizations on their routes. This can create a laborious scenario where a collector performs a collection at one location, and then at the next they need to log out, and then back in as a different user. At the next location they might need to flip back to the original login.
To make this a simpler process TrueRoute offers a linked account tool.
- Log into your most frequently used account on the app.
- Go to ‘+’ > Account Link
- Enter the login and password for a different Organization, and submit.
- Tap the ‘burger menu’ button in the upper left of the app’ home view. In the lower area below the collection filters you will be able to select which account you need to operate as. One account cannot perform transactions on another, and the information is purposefully kept separate, and does not mix.
If a user happens to be operating as the wrong Organization, then collections will fail as the machines and locations are not registered.
Printing a Machine QR
In the scenario where you have a machine that cannot perform a scan collection, but has an especially long serial number, TrueRoute allows you to create a custom scannable code that can be printed on a sticker, allowing you to more quickly trigger a collection.
- Go to ‘+’ > Machine QR
Here you can start typing in a machine’s serial number or select from a list of your Ref numbers. You then define which location that device is currently assigned to. Once selected the ability to ‘Print QR’ becomes available.
Using a Star SM-L300 bluetooth printer, you can now load sticker material for direct printing. This can be adhered to the exterior of a cabinet. Once in place, in order to perform a collection you can:
- Tap the QR symbol to the right of the machine selector field
- Scan the printed QR
- Complete the collection by adding the rest of the details.
Loan Agreements
In the event that you would find benefit to loaning one of your locations money, we have a dedicated contract tool for this purpose. In the app you can navigate to ‘+’ > Loan Agreement. Or go to your locations list view > select a location > Issue a Loan.
If you start the process from inside a single location view, then the locations’ details will be automatically populated into the contract. The text used is simplistic language that is easy for all parties to understand.
Once the locations’ agent agrees with the stipulations, they need only sign on the app to complete the process. A copy of the agreement will be emailed to them, and also attached to the locations Notes & Docs details.

A/R
The AR view (accounts receivable) view shows all collections and loans that still have outstanding balances. When you tap on any view in this list, you can see what locations still owe you money, for how much, and what type.
Locations
When you view the Locations List view you can see all locations assigned to you. Operators will see all locations in their organization, but managers really don’t have a use for this list, as they are considered internal employees that do not operate in the field.
Quick Actions
Inside the single location view you can add documents or notes to be logged and visible in the web portal
- Add a Photo – Just tap the button to trigger your phone’s camera. Once the shot is made you will neeed to confirm the upload.
- Add a Note – you can easily add a note or comment to be help on record for future reference.
- Issue a Loan – When pressed the Location Loan form will trigger, and the relevant details will already be entered.
- Add a Contract – Just like a loan, this triggers the Contract Creation Tool with all of the locations details pre-filled.
- Add a Machine – If you have just installed a machine that was previously assigned to your collector possession, you can flag the machine as being installed in this location.
Machine Information
When you select a location from the list view, you can see all of the machines that are assigned to that location. If needed a user can view the machine’s details and edit the associated components assigned to that machine.
If you select a field and enter a new component to be assigned, and that component is found elsewhere you will need to confirm that you are reassigning the component to another device.
