Deposit Handling
Once a Collector starts receiving funds from their locations, they need to be able to deposit those funds somewhere. On the web you will need to go to Settings > Banking and define at least one bank account for your users to deposit into.
With the App
Open the app and click ‘+’ > Deposit to kick off the process. In the deposit screen that launches you will need to enter a variety of information.
To start, the user will Select a Payment. Every collection that a user has received payment on will be listed here. You can tap away at all of the payments that have been received and are ready to be deposited. Then, in case any loans have been made they can be associated with the deposit as well, as these are negative values to be applied against the positive collection values.
A bank account will need to be selected, and the user can add any text notes as needed. A user can also list any adjustments necessary to account for expenses incurred.
As collections and loans are selected their values will be listed on-screen, near the bottom in the Summary. This will illustrate the positive and negative values, and the expected deposit total.
At any time the user can save a draft of their deposit for future editing before submission. Once they are sure that they are done, they need to include a photo of their deposit slip and enter in the total deposited value before they can submit. Once complete, they can submit.
If their entered value does not match the expected deposit total, then a note describing the difference is required.
On the Web
In case a Collector submits deposit information without using the app, then a member of the accounting department can manually app to the system. Using the ‘Add Deposit’ button in the upper right of the Deposits view a user can manually add a collection via the web interface.
Here the user will need to define all of the information that normally would be handled by the TrueRoute app.
- Select a collector
- Select a target bank account
- Enter the final Deposit number
- Select payments received by that collector
- Account for any loans made by the collector
- Add any adjustments required
- Insert the actual deposit amount
- Define the date of the actual deposit
Deposit Status
When a deposit is submitted or saved as a draft via the web or app it populates into the Deposit view as a line entry. Each line entry has a Status
- Draft – The deposit is currently incomplete, and the collector will return to it later.
- Unreviewed – The Collector has submitted the collection and all requirements have been met.
- Ok – One of the accounting department members has reviewed the deposit, sees no issues, and accepts it as is.
- Has Issue – One of the accounting department members has reviewed the deposit, has seen an error or flaw that needs to be addressed.
