Adjustments

Inside this view you can define what types of Adjustments to a collection that an end user is allowed to make.
First you define the simple name of the adjustment, and then enter the full descriptive text as to what this is to be used for. Then you need to define where in the collection math this is intended to be accounted for.

Location – This is an expense incurred because of the location itself, and they are responsible for refunding you money, and it is to be taken from their share of the collection and given to the collector.

Shared – A shared expense such as bill validator fraud/stringing, and is a shared negative that is no fault of either party.

Operator – This is intended to account for a service or repair expense that is only the responsibility of the collector (device repair, replacement components, etc). This value is only listed in the collection as a point of reference, and is accounted for when a deposit is made.

Banking

If your organization uses multiple bank accounts, you would enter in the bank name and/or account# for each. When a collector is entering in a deposit from the TreueRoute App or via the web, they must define which account they were making the deposit into.

At least one bank account is needed to be entered if the TrueRoute deposit tool is to be used at all.

Service Event Types

In the TrueRoute App you have the ability to register the servicing or inspection of a location without performing a collection. When registering these visits in the system a user can log actions that they have done at the location as part of a service record.

You can add most any non-cash, and common action here. For example an entry could be ‘Replace Bill Validator’. When the collector creates a new Service Event, they can just tap that event in the app as part of their process.

Location Types

When creating a Location you can define what type of establishment the location is. Some of these are mechanics, and some are just descriptors.

An example of a Mechanic is that each collector or field agent will need their own Collector Possession location that is assigned to them, representing that the machines are not in a location or a warehouse/storage facility, but actually with the person themselves.

A Descriptor would be what type of place a machine is installed in, such as a convenience store, a grocery store, or an internet cafe.

 

Mechanics

  • Collector Possession – One of these for each field agent is needed.
  • Legal Hold – This indicates that equipment has been seized, and one of these locations for each district is needed.
  • Service – A machine assigned here represents that it has been shipped back to the manufacturer for servicing, and that it is not in anyone’s possession.
  • Storage Unit – An external facility that is generally under the oversight of one of your field agents.
  • Warehouse – Your main facility.
