Handling a CashIn event

Sending cash to a machine

In a basic setup it is common for a cashier to need to assign value to a machine. The cashier simply needs to enter a value via the keypad on the right side of the screen, and then select a machine to assign it to. Once they confirm their action, the value is transmitted to the machine, and is ready to play.

Note: the POS can be configured for Bill-value entry or as a regular keypad.

Using a Hold Ticket

If a user has a Hold ticket that represents a previously played session, then the cashier needs to ‘activate’ the session in order to continue. Pressing the Scan button in the upper right of the screen activates the built-in 2D scanner on the POS. All they have to do is get the QR code near the red light being omitted and the code will be read.

If the held session has not expired, then the cashier will be prompted as to what to do with the session: Transfer, Redeem or Hold (again).

If the player wishes to redeem or transfer the session then the process is completed. If they want to Hold again… then hold it again.

Creating a Session

The need to create a session can come about via two different scenarios: System Errors or Manager Desire. Since we are dealing with machines there is always the chance that something might not compute correctly, a signal is lost, or a message is corrupted. There have been 2 cases that we have seen (as of 08/24/2021) where a player cashed out but the session was never received by the POS. In the (admittedly rare) case that this may happen, the manager can inspect the play logs of the machine in question and see if there actually was a cashout event that the POS system is missing.

If the session is indeed missing, the Manager can log into the POS, go to the Menu > Create a Session.

Here, a Manager can select which machine a cashout should have come from, input the value of that missing session and when they press ‘Submit’, a session will instantly be ready to redeem, and be associated with the intended machine.

Sometimes there can be the scenario where the manager wants to provide a bonus, a giveaway, host a contest, or just do a credit-based promotion. A manager or Admin can go to Menu > Create a Session and instead of assigning a Machine to be the source, they instead use ‘Customer Service Event’. When the CSE is used a new session is created, but not logged as being the result of any single machine.

Using a Player Card

If a cashier is presented with a Players Card, then all they need to do is to swipe the card into the card reader. When that event occurs the POS responds just as if a session had been selected from the main screen. The Cashier can transfer or redeem credits, but cannot use the Hold function.

Example: A customer has $129.00 on their card, and they want to use $20.00 to play a game, and buy some flip-flops from the store. The cashier will swipe the card and press Transfer. They will then enter $20 as the amount to be played. After selecting the machine to receive the $20.00 value, the cashier will then enter the amount to be used for the flip-flops.

** Not all value needs to be assigned somewhere when redeeming from a card. Any amount not specifically assigned somewhere will be left on the card. **
